Program Assistant, Drug Programs

POSITION SUMMARY

Reporting to the manager, drug programs, and in accordance with College policies and procedures, the program assistant is responsible for supporting and coordinating the day-to-day activities of the manager and deputy registrar, and works in cooperation with other program staff, as well as the administrative assistant, monitoring and physician health.

DUTIES AND RESPONSIBILITIES

Duties include but are not limited to the following:

  • process requests from drug programs and other departments on standard queries for practitioner prescription profiles and other related materials, including analysis of profiles
  • process all applications for authorizations to prescribe methadone for analgesia including coordination with Health Canada (full and temporary)
  • liaise with BC Centre on Substance Use regarding authorizations to prescribe methadone for opioid use disorder
  • process controlled prescription pad orders (duplicate and methadone)
  • respond to enquiries regarding theft and forgery of controlled prescription pads, issue and file appropriate correspondence
  • prepare general business correspondence, send and receive faxes, and triage to appropriate staff
  • general clerical duties, i.e. filing (correspondence, certificates, program files), records retention (coordinated with other program assistant)
  • assist in responding to standard telephone and email inquiries from the public, physicians, various health organizations and the government pertaining to drug programs activities
  • assist in preparation and sending of correspondence to patients contacting drug programs with general queries
  • support for courses presented by drug programs
    • process registration forms, fees and refunds for courses and workshops
    • attend the course registration desk once a year
    • assist with preparation of meeting packages and course materials as needed
    • enter course certificate information in membership databases
  • assist with the duties and responsibilities of other program assistant(s) and/or senior advisor(s) in his/her absence
  • perform any other related duties and participate in special projects as required to support drug programs and the College

SKILLS AND QUALIFICATIONS

Required skills and qualifications include: 

  • successful completion of grade 12 supplemented by a two-year office administration diploma or equivalent combination of education and experience
  • experience working as a pharmacy assistant or regulated technician desired
  • a bachelor’s degree would prove an asset
  • a background in health care or familiarity with medical language is preferred
  • excellent written and verbal communication skills
  • working knowledge of Microsoft Office applications including Word, Excel, Access and Outlook
  • ability to organize and set work priorities
  • ability to work both independently and as a team member
  • ability to maintain a calm demeanor during busy or stressful times
  • ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must
  • analytical, detail orientated and strong problem-solving skills
  • previous experience interfacing with patients or the public is an asset
  • typing speed of 70 wpm
